Heffler Claims Group (Heffler) is an industry leader in class action claims administration and mass tort claims management. Heffler continues to experience significant, national growth and is looking for high-energy Client Services Manager to join out team in our Philadelphia office.

Job Description and Background:

Heffler administers class action settlements in consumer, securities, antitrust, employment and other class action and mass tort matters.  As part of our procedures in administering settlements, we are responsible for the end-to-end management of the settlements, budget, team management and client servicing.  Heffler is looking for confident, energetic, and driven individuals to grow and promote the practice.  A candidate should possess leadership skills, with the ability to mentor and motivate others and must lead by example.

Key Responsibilities for Senior Managers:

  • End-to-end administration of settlements, meeting court-ordered deadlines, and managing multiple deliverables across a block of assigned cases
  • Coordination of Class Action administration; including notice dissemination, claims processing, claims analysis, technology set-up, distribution management
  • Case budget management – regular review of case budgets with team members and internal business partners to ensure cases are tracking to budget
  • Monthly invoice review and preparation
  • Set-up new projects/cases and staffing model for new projects under tight client and court-ordered deadlines
  • Determines team operational strategies by conducting needs assessments
  • Maintain adequate staffing levels to handle projected case/settlement work on a daily basis
  • Manage and maintain highly sensitive data, train and supervise staff on handling sensitive client data
  • Provide growth and improvement opportunities for staff through appropriate coaching
  • Conduct one-on-one performance review (including annual reviews and any interim reviews), team meetings and coaching sessions as needed
  • Ensure the team is meeting individual and team performance metrics related to monthly billing, time entry, budget management and client deliverables
  • Responsible for providing exceptional client servicing
  • Support and champion leadership vision and strategies amongst team members and internal business partners
  • Creation and fostering of a professional office atmosphere and team culture
  • Other duties as the needs of the business indicate

Job requirements:

  • Bachelor’s Degree (or equivalent) preferred
  • 5+ years class action management preferred, or equivalent managerial experience
  • Flexible schedule based on client needs (extended hours and/or weekend work if necessary to meet deadlines and deliverables)
  • Ability to foster relationships
  • Build and manage teams of 5-10 individuals
  • Exceptional problem-solving skill
  • Exceptional attention to detail
  • Strong verbal and written communication skills
  • Advanced skills with using Microsoft Excel, Word, Powerpoint, and other databases
  • Budget management skills
